How SmartSec consolidated fragmented systems into one security platform

As SmartSec grew, so did the number of systems it relied on to manage security operations across its portfolio.

Different contracts brought different platforms, processes and reporting methods, creating unnecessary complexity and limiting visibility across the business.

The challenge was no longer finding more technology. It was bringing fragmented systems together within one security platform that could support patrols, tasks, assets and reporting across a wide portfolio of buildings.

Today, SmartSec is deploying Kinexio Secure security operations software across more than 180 buildings, bringing Proof of Presence patrol management using Trusted NFC Tags, task verification, asset tracking, and reporting into one unified security platform.

From a single site in London’s St James’s district, SmartSec grew organically into a multi-sector security provider serving property management companies, embassies, cultural venues, education institutions and public spaces.

But as the portfolio expanded, so did the number of systems, suppliers and processes SmartSec needed to manage. What worked at individual site level became increasingly difficult to oversee across the business.

Over time, that created a patchwork of separate security management systems and operational tools.

“We ended up with six or seven different systems across our portfolio. Different providers, different billing, different reporting.”

While this approach reduced risk during contract mobilisation, it created challenges elsewhere.

Officers covering multiple sites had to learn different systems.

Account managers struggled to report across their portfolios.

Finance teams managed multiple supplier invoices.

But the biggest issue was visibility.

“Someone like me as the MD, if I want to see what our compliance looks like across SmartSec, I can’t easily get to the bottom of that.”

Even clients experienced the same fragmentation.

“You don’t have that grouped-up reporting where you can see everything — all the exceptions.”

The company needed a platform that could consolidate security systems across the business.

At the same time, internal operational priorities had aligned.

“I already knew we were suffering this pain for a while. And the problem is, the more you grow, the more difficult it becomes to consolidate.”

With one major internal system upgrade completed, the business was ready to address the next priority: consolidating operational technology.

The goal was clear.

“We wanted one system that becomes an extension of our brand… something that comes with SmartSec wherever we operate.”

The selection process started with a simple requirement: SmartSec did not want another standalone security system.

“The asset management piece is very rare to find coupled with patrol management and task management. That immediately ruled out a lot of systems.”

“On the surface the prices looked similar, but then there were add-ons; mobilisation fees, extra reporting costs, SMS packages. By the time you start adding those things, it becomes uncomfortable because you can’t budget.”

“Kinexio’s price was all-inclusive. Mobilisation was included. Data was included. SMS was included. That meant we knew exactly what we were paying.”

Another key differentiator was support.

Unlike competitors relying heavily on offshore teams, Kinexio provides UK-based support and on-site deployment teams. For SmartSec, this proved crucial during the rollout.

“If I need help, I will see your colleagues face-to-face, let alone over the phone or email. Having boots on the ground is invaluable.”

The deployment involves rolling out multiple Kinexio modules across more than 180 buildings, including Proof of Presence security patrol verification using Trusted NFC Tags, task management, asset tracking, and digital incident logs.

While migration between security systems is never simple, SmartSec credits Kinexio’s implementation team for handling the complexity.

For SmartSec, this demonstrates strong adoption among officers.

“The mobilisation team’s priority has been getting our people on the ground using it and familiar with it, and that has worked very, very well.”

Clients are also beginning to see the benefits.

“Our clients are already noticing a difference… they can see patrols being completed and receive instant reporting in real time.”
